Convergence Planning Checklist

2 Months Ahead of Time

• housing coordinator
• send call to other IMC listserves several weeks in advance, and then reminders
• decide on a budget for the entire convergence
• fundraising

Website

• pre-convergence coverage (1 week ahead)
• do research and stories about the issues ahead of time to post during protests
• calendar of everything that's happening (start 3 weeks ahead, update daily)

Registration

• liability statement and press badge, buy plastic holders
• how much is registration fee to use space?

Welcome Packet (post on website at least a week ahead)

• update list of local resources as necessary
• info on what each working group is doing, contact info
• calendar of events
• meeting times during convergence

Space Planning

• obtain space well ahead of time, negotiate cost (considerations: near metro, close to protests, close to food and other resources)
• dsl, phone, electricty for space (dsl takes a few weeks to be installed)
• additional phone line for breaking news, if necessary
• volunteers to move in/out
• equipment: computers, monitors, keyboards, scanner, printer, router, hubs, ethernet cables
• additional furniture for space, including tables for laptops
• supplies: toilet paper, trash bags, etc.
• socially conscious snacks or drinks to sell
• guidelines on space usage (no alcohol, need badge to enter, etc)

Space/Misc Setup

• message board
• schedule posted so people can sign up for coverage
• IRC channel
• collect cell phone numbers

Volunteer Tasks During Convergence

• staffing space
• dispatch/breaking news
• respond to emails sent to dc@indymediaSTOPSPAM.org
• check voice mail frequently
