minutes 2nd irc-meeting, sunday 21st november
present: pieter, shine (both amsterdam), trig, tuta (both london), lena
(berlin), jelena (belgrad), monika (den haag)

1. ROUTE & SAFETY
as the policital situation in the countries we are going to cross may change,
trig and tuta from rhythms london are looking for different possible routes.
they are collecting any information about this topic.
Turkey-Iran-Pakistan-India is propably dangerous:
- Pieter: there are no negative travel orders for the countries we're
travelling in (asked dutch embassies) apart form parts of Pakistan and Nepal,
We should avoid the northwest of Pakistan and the west of Nepal according to
the dutch embasies.
- shine: we discussed the Transibirian before, but didn't know how to get over
the mountains fmro China (although now they are building on a very
controversial train line across the mountains and ironically enough, have
been asked to campaign Against it...)
- trig: proposal: silk road from turkey to nepal, see: see
http://shop.lonelyplanet.com/product_detail.cfm?productID=1695
but the book is some years old, situation there has changed.
- shine: Iran might change. Pakistan m,ight change. / I think the project of
travelling Turkey-Iran-Pakistan etc has a lot of potential in making contacts
with groups and having a social-political angle to our themes with much more
variation END
- trig: the approach to Nepal from India is most likely to be unaffected by
the current political climate, so I'll do some research into the various boat
routes to India, either from points along our proposed route or from other
origins (eg Mombasa)
2. TIME LINE & GLOBAL CONFERENCE
- shine: time schedule is tricky. in the first meeting (in london after the
ESF) we discussed that the project can not take too long because then noone
will be able to join (being frmo work etc) and then why are we doing it.
- shine: present time plan is unrealistic, we decided then that all in all it
should take one month, INCLUDING the conference itself which I guess will be
at least 5 days END (plus coming back)
- Monika: well i will get the lonelypl. and check the route more on timetables
plus stopovers and eventualy delays etc. and make a sugestion. if you agree.
- shine: but that's on ly the first thing. to know how much time it would take
to just travel. with our plan of stopping in many of the places we pass I
think the journey will take twice as long.
we postponed some of this discussion until we've seen the lonely planet and
had a chance to research routes in greater detail, and also until we have
more information on the dates for the PGA.
shine will make contact with the Indian/Nepalese contacts and ask for the
planned duration of the conference and if thery are planning these gender
days beforehand. as we can also influence on this by estimating/deciding how
much time we need for the caravan and make suggestions for how long after G8
we want to start and count from there. so say travelling takes four weeks,
including stop s (with tight schedule), conference plus gender days is one
weeka dn we want to leave about one month after G8 ...
- shine: summary: we need to do mroe research to figure out how much time we
need for travelling and for the actual conference. most of us agree that
leaving around 3 weeks after G8 is feasible and necessary to have enough time
toget to Nepal.
- pieter: the 'when'; (july), august, september 2005
shine proposes to pga process to hold the conference in the beginning of
September.
- shine: we have also discussed the possibility to have long- and short
versions of the caravan, meaning that we leave with the people who want to
and can join the full caravan, others who maybe have less time can always
join along the route (getting there by faster means, though hopefully not by
flying of course :-)))
4. FUNDING & COSTS
- shine: the point with the themes and the project idea is to get together a
document with the project proposal that we can use for fundraising, for
presenting the project for other groups, people and partnersw who might want
to join us or support us. it's difficult to do fundraising without this
project proposal and without a better clue about costs.
- shine: so we include gathering information on costs when looking into the
routes.London crew gather info on route and costs, Pieter collect info on
visas and insurance - from all of us.
- monika: i could do the visa costs - inxurances might be different for
everybody. When you have a healthinsurance in Holland you can make a cheap
all around year travelinsurance.
- lena: proposal: we should have one person from every country (from which
people are joining) to collect country-specific information as visa,
insurance etc., cause it's maybe easier to find infos about different topics,
but for your own country.
5. COMMITMENT from people to work on the project
new commitments:
- lena: i can put some time (say 4 hours a week) into it, then no time at all
in january due to exams, and then much more time from mid february as i have
free till summer . -but- g8 is at the moment higher in my priority. i like to
work in funding, with other people, or anything else.
- from berlin there's also lisa and mowgli who are very enthusiastic, lisa is
willing to work on any task that's still left, e.g. vaccination. mowgli i
don't know but he wants to take a job as well. end
- trig: I'll do some research on the routes, times and costs like we discussed
earlier. I can also research the british insurance and visa costs. also i'll
write something on the list regarding our follow-up to the caravan end
- shine leaves next year so pieter can take over some of her commitments on
funding.
- london people track down greg and ask if he still wants to be part of this
or not? initally he was the one who was supposed to collect all contact etc
but since the first meeting in london we haven't heard anything frmo him.
shine will also try to contact him.
- monika: I will be in India end of January, feb march, april in Nepal, so I
could maybee arange some things there. Well I am not shure if I can join the
caravan already begin of august, propobly I have money and time after august.
if people could also try to encourage more people to get involved, would be
great. tell them about the list, tell them about these meetings.
6. TASKS & TASK DIVISON
- shine: so, looks like we have people who will be coordinating the gathering
of allt the info we need. I'd like to stress that getting the text ready is a
priority and I will work only on this. but for this we need your information,
so we should be rather quick with this work.
- monika: insurance visa everybody should take own responsibilities and win
the info per county, i will do the timetable thing and info insurance
Netherland
(lena, lisa and mowgli will do it for germany)
- shine maybe I should clarify a point I made before. I also agree that it
should be everyone's responsibility to check personal VISA, insurance and
vaccination needs but it's also useful to have someone who collects that
info, to get an overview of the total costs. I have proposed Pieter for the
gathering of all that info, and he has agreed.
- jelena: i do not know any about pepole from belgrad eexcept that one friend
of mine who is collecting iinfo (she has a degree in Medicine) she is
intersted and that would be grate to have a doc on a way end
- Pieter: If Lisa wants to take over the vaccination part I'll put on the list
what I will find out an she can work form there. I ave to stress howerver
that EVERYONE involved should also do this for themselves.

7. VIRTUAL MEETING TIMES & DATES
- shine: what i'd like to ask is if sunday night every two weeks is a good
time, if the hour is good ? can people ask around? and spread the word, if
this is to become our regular meeting time and place (which I'd be in favour
of)
- jelena: hope that we can be much efective if we have an agenda prepaerd
before and than just shortly discuessed mn, let's use more list end
next meeting: 5th of december, sunday night, 7pm UK time, 8pm Central European
time or 9pm Eastern European time!
well this is what we proposed, if it's bad for people from serbia, we need a
new date. of course, during the week we won't find a date where everyone can
join.
